Manuscript editing guide

How to edit an AI-assisted manuscript without losing your voice.

AI can make a manuscript clearer, more consistent, and easier to reorganize. It can also flatten the language, overstate the argument, and replace the author's judgment with generic prose. The solution is not to avoid AI. It is to give the edit a defined scope, a preserved source, and a deliberate review process.

The author remains the author.

When someone has already written a manuscript, AI should be treated as editorial assistance. The person who developed the ideas, selected the material, wrote the draft, and accepts or rejects the changes remains the author. The AI system and the service guiding it can be credited for editing or development according to the work performed.

This distinction should shape the workflow. Preserve the submitted manuscript, define the intended intervention, and keep the author responsible for every accepted change. Editing is not permission to silently replace the work.

Step 1

Preserve the original manuscript.

Keep an unchanged source copy before AI-assisted editing begins. The source establishes what the author actually wrote and makes every later intervention reversible. Give the working revision its own version, date, and editing description.

If the manuscript contains illustrations, keep the image files, captions, rights information, and intended section placements with the source materials. A text edit should not erase the book's visual plan.

Step 2

Choose the editing level before editing the prose.

Different manuscripts need different interventions. Mixing every kind of editing into one pass makes changes harder to evaluate.

Polish

Improve the existing sentences.

Correct grammar, clarity, repetition, consistency, and awkward transitions while preserving the structure and meaning.

Developmental edit

Strengthen the manuscript as a whole.

Address organization, pacing, argument, missing connections, chapter balance, and material that belongs elsewhere.

Substantive revision

Propose deeper rewriting.

Rebuild weak passages or sections under explicit author direction while retaining the source manuscript for comparison.

Step 3

Create a voice brief from the manuscript itself.

Do not ask an AI system simply to make the writing better. Describe what should remain recognizable. Identify three to five passages that sound most like the author and explain why. Note the typical sentence length, degree of formality, humor, directness, vocabulary, use of metaphor, and relationship to the reader.

A prompt to adapt

Act as a careful editor, not a replacement author. Analyze the sample passages below and create a concise voice brief. Identify their rhythm, diction, degree of formality, point of view, characteristic transitions, and recurring strengths. Also identify habits that should not be exaggerated. Use this brief as a constraint when proposing edits, and flag any change that materially alters meaning or tone.

A voice brief cannot capture every instinct of a writer. Its purpose is to make editorial choices discussable and to reduce unintentional drift.

Step 4

Edit in separate passes.

Begin with structure before polishing sentences. Confirm that chapters have distinct purposes, ideas arrive in a useful order, and the opening promise is fulfilled. Then review paragraph logic and transitions. Only after those decisions are stable should the edit concentrate on sentences, grammar, and consistency.

This order prevents careful line edits from being wasted on material that later moves or disappears. It also lets the author approve major changes before the language is transformed.

Step 5

Review every change for meaning, emphasis, and rhythm.

A sentence can become smoother while becoming less true. AI may strengthen a claim the author intended to qualify, remove repetition that was serving emphasis, or substitute a familiar phrase for an original one. Review the working text against the source and ask four questions:

  • Did the factual or interpretive meaning change?
  • Did the edit add certainty, judgment, or detail that the author did not supply?
  • Does the passage still sound natural beside the surrounding pages?
  • Would the author knowingly sign their name to this version?

Step 6

Check facts, quotations, citations, and rights.

AI-assisted editing can introduce new errors even when the original draft was accurate. Recheck names, dates, quotations, source descriptions, technical claims, and links after editing. Confirm that revisions have not changed the meaning of cited evidence.

For illustrations, confirm that the creator has permission to use every image and that the credit, rights holder, source, license, caption, and alt text are recorded. Placement plans can travel with the manuscript, but books requiring precise image composition still need a dedicated layout pass.

Before refinement

Is the editing plan protecting the author?

  • The original manuscript is preserved separately from the working revision.
  • The editing level is defined before any passages are changed.
  • A voice brief names the qualities, habits, and passages that should guide the edit.
  • Facts, quotations, citations, names, and specialized claims are checked against sources.
  • The author reviews changes for meaning, emphasis, rhythm, and unintended invention.
  • The final manuscript still sounds like the same person, only clearer and more deliberate.

Step 7

Move the manuscript into a controlled refinement workflow.

Bring the existing draft into ToC Works, choose the intended editorial depth, describe the voice and nonnegotiable constraints, and include any illustration plan. The original remains the source manuscript while the working version moves through structured editorial review.

Saving the intake does not start editing or charge you. Paid projects receive an automatic inventory and quote from readable source text; you approve the plan and price, then pay in Stripe. Only pilot production requires operator approval. AI editing advances while the production page is open and resumes when you return.

Keep the author in control

Refine the whole manuscript without losing the source.

Define the intervention, preserve the original, and keep chapters, revisions, sources, illustrations, and exports together.
